Sun City Swing is a mobile golf simulator rental business based in El Paso, Texas, serving El Paso, Las Cruces and the surrounding communities. In this policy, “we”, “us” and “our” mean Sun City Swing, and “you” means anyone who visits this website, contacts us or books an event.

This policy explains what information we collect, why we collect it and what we do with it.

02Information we collect

We only collect what we need to answer your question and run your event.

Information you give us

• Your name, phone number and email address.
• Your event date, approximate guest count and event type.
• The event location — city, venue, and whether the setup is indoor or outdoor.
• Anything else you choose to tell us in the message field, by text or over the phone.

Information collected automatically

• Basic technical data your browser sends: IP address, browser and device type, and the pages you viewed.
• Referral information — whether you arrived from a search engine, a social profile or a direct link.

We do not collect Social Security numbers, government ID numbers or any special category of sensitive personal information.

03How we use your information

We use the information above to:

• Confirm whether your date is available and respond to your enquiry.
• Prepare a quote, take a reservation deposit and hold your date on our calendar.
• Plan the setup — travel time, space, power and timing for your venue.
• Contact you before, during and after your event about scheduling and logistics.
• Keep records for accounting, tax and insurance purposes.
• Improve the website and understand which pages people find useful.

We do not sell your information, and we do not rent or trade contact lists with anyone.

04Payments and deposits

Reservation deposits and final balances are handled through a third-party payment processor. Card numbers are entered with that processor and are never stored on our systems. We receive only what we need to reconcile a booking — the amount, the date and a confirmation reference.

That processor handles your card data under its own privacy policy and its own security standards.

05Calls, texts and email

If you call or text (915) 269-7643 or (915) 443-0518, or email us, we keep that correspondence so we have a record of what was agreed for your event.

When you give us your phone number we may contact you by text about your booking — availability, arrival windows, setup details and weather. These are service messages about an event you asked us about, not marketing blasts. Reply STOP at any time and we will stop texting you; standard message and data rates from your carrier may apply.

06Cookies and site analytics

This site is a set of static pages. It does not set advertising cookies and does not build a profile of you across other websites.

If analytics are enabled on the live site, they are used only to count page views and see which pages people read. You can block or delete cookies in your browser settings at any time; the site will continue to work normally.

07Photos and video at events

We sometimes take photos or short video clips at events for our own website and social channels. If you would prefer that we did not photograph your event, or that a particular guest is not included, tell us before the event or at setup and we will respect it.

If a photo of you has already been published and you want it removed, call or text us and we will take it down.

08When we share information

We share your information only in these situations:

• Service providers — the payment processor, our booking and calendar tools, and our email provider, each only to the extent they need it to do their job.
• Your venue — where a hotel, park, restaurant or event space requires setup details or a certificate of insurance before we can load in.
• Legal reasons — where we are required to by law, or where it is necessary to establish or defend a legal claim, including an insurance claim after damage or injury.

We do not share your information with advertisers or data brokers.

09How long we keep it

Enquiries that do not turn into a booking are kept for up to two years, in case you come back to us for a later date. Booking and payment records are kept as long as our accounting, tax and insurance obligations require, then deleted.

10How we protect it

We use reputable providers, keep accounts protected with strong passwords, and limit access to booking information to the people who actually run the events. No method of transmission or storage is completely secure, so we cannot promise absolute security — but we do not keep more than we need, which is the best protection there is.

11Your choices

You can, at any time:

• Ask what information we hold about you.
• Ask us to correct anything that is wrong.
• Ask us to delete your information, unless we are required to keep it for tax, accounting or insurance reasons.
• Ask us to stop contacting you, by replying STOP to a text or telling us on a call.

Call or text (915) 269-7643 (daytime) or (915) 443-0518 (evening) and we will handle it. We will not charge you and we will not treat you differently for asking.

12Children’s privacy

Our simulator is enjoyed by guests of every age, but this website is directed at the adults who book events. We do not knowingly collect personal information from children under 13. If you believe a child has sent us their information, contact us and we will delete it.

13Links to other sites

This site links out to our Instagram, Facebook and TikTok profiles. Once you follow one of those links you are on their platform, under their privacy policy, not ours. We are not responsible for how they handle your data.

14Changes to this policy

If we change how we handle information, we will update this page and change the date at the top. Continuing to use the site or book with us after a change means you accept the updated policy.
